The OEA is seeking a person for a challenging and rewarding position as an Executive Assistant - AED Program. This position provides confidential administrative support to the Assistant Executive Director- Program; manages the workflow process; plans and manages special projects of significant complexity.

Essential Functions:

• Maintain the Assistant Executive Director-Program's schedule and related materials; organize travel arrangements.
• Anticipate needs of the Assistant Executive Director- Program with respect to reports, monthly projects, and the preparation of correspondence. Organize data and maintain appropriate files and records. Report minutes of meetings and prepare reports.
• Handle and prepare confidential information. Protect the integrity of materials and communications designated as confidential; safeguard such information for use only as expressly authorized or specifically required while performing specific job duties.
• Exercise discretion in communicating information and in handling administrative records, files, and similar confidential items.
• Independently handle routine correspondence and prepare responses for the Assistant Executive Director- Program. Review correspondence and reports for errors and discrepancies and, when appropriate, initiate and ensure that appropriate corrective action is completed.
• Establish and implement short-term and long-term plans consistent with OEA's strategic direction and operational priorities.
• Participate in long range planning and the development of departmental and divisional goals, strategic plans, and objectives.
• Manage the preparation and dissemination of materials for the Assistant Executive Director- Program and other divisional managers in coordination with the associate staff.
• Determine and implement the most appropriate methods of handling complex operational challenges and issues.
• Respond to routine questions regarding issues governed by OEA policy; transmit pertinent information, decisions, and directives.
• Manage special projects, meetings, and other assignments as directed by the Assistant Executive Director-Program.
• Assist with, coordinate, and monitor various grants and funding projects.
• Coordinate activities and meetings related to the administration of labor agreements with OEA staff unions.
• Perform extensive executive assistant and complex clerical duties without supervision, manage special projects and assignments.
• Approve bills for payment; analyze expenditures, financial statements, and reports; and assist in the preparation of an annual budget and in monitoring expenses on a regular basis.
• Supervise assigned personnel, using progressive and effective supervisory practices.
• In conjunction with other first/mid-level managers, maintain an efficient, aligned, and integrated workflow process throughout OEA. Provide leadership and work together to route and assign work in a manner that maximizes available resources.
• Attend meetings as appropriate, including those which may require overnight travel.
• Access confidential information concerning collective bargaining negotiations; may be assigned to provide labor relations assistance, evaluations and recommendations during contract negotiations
• Performs other duties as assigned

Qualifications:

Education, Experience and Training

• Bachelor's degree or the equivalent work experience as determined by the Assistant Executive Director - Program
• Five (5) or more years' work experience as an executive or administrative assistant, office manager or in a comparable position providing administrative support to management, required

Knowledge, Skills and Ability

• Knowledge of and/or experience within the Ohio Education Association, strongly preferred.
• Skill mastery in office management practices, ability to perform complex administrative support functions.
• High level of skill utilizing office software applications to create documents, spreadsheets, reports, databases and presentations.
• Demonstrated skill in projects management, including e-mail, calendaring, tasks and information.
• Outstanding administrative and organization skills with demonstrated ability to multitask and recognize established priorities.
• Demonstrated excellent communication skills, both oral and written.
• Strong project management skills and ability to concurrently prioritize and oversee complex and sensitive projects.
• Skill and ability to prepare concise and accurate written communications; set up and maintain database files; utilize time management techniques to organize and prioritize work; and exercise analytical and independent judgment.
• Conduct internet research and send email notification/correspondence.
• Thorough working knowledge and understanding of governance structures and operations
• Keep and/or supervise the maintenance of complex records; assemble and organize data of complex nature and prepare and submit required reports from such records.
• Exercise considerable discretion and independent judgment and take initiative while handling administrative tasks.
• Ability to work under pressure and meet required deadlines.
• Detail oriented, methodical and strategic thinker with detailed research proficiencies, and demonstrated ability to exercise sound judgment.
• Apply effective team building skills and sensitivity and commitment to a diverse and unionized workplace.
• Regularly review organizational policies and their effects; and, as appropriate, recommend to the Assistant Executive Director - Program and other managers change in workflow processes.
• Understand when situations require the attention of the appropriate manager, communicate that situation to that manager, assemble the necessary material and other information, identify those who need to be involved in related discussions, arrange the necessary meetings, and ensure the situation is appropriately concluded.

• Work independently and collaboratively on cross-functional and diverse teams on complex issues.
• Evaluate and analyze prospective meeting sites and conference/convention facilities to identify the best possible and most cost-effective facilities for the organization and its members.
• Work flexible and/or extended hours and travel overnight to locations away from the regular work location, to carry out position responsibilities.
• Manage staff and maintain positive, collaborative effective working relationships.
• Manage project budgets and monitor expenditure on a regular basis.

Authority and Relationships:

Responsible to the immediate supervisor; recommends policy and procedure changes to and through the immediate supervisor.
