About the Role
American Wire Works and Ace Metal Works are long-standing industrial manufacturing businesses operating from a shared facility in Folcroft, PA. We are looking for a reliable, organized, and tech-comfortable Operations Coordinator / Administrator to support day-to-day office and operational coordination.
This role is a strong fit for someone who likes being at the center of a busy environment, is comfortable using software and systems, and wants to grow over time into broader operations support. You will help keep communication, paperwork, invoicing, payroll coordination, purchasing support, and internal follow-through organized so the business runs more smoothly.
This is not just a front-desk role. We are looking for someone who is proactive, detail-oriented, quick to learn, and interested in growing with the company.
This role will also support the companys increasing use of AI, automation, and digital tools to improve efficiency and workflow. The right candidate does not need to be an expert, but should be curious, adaptable, and comfortable learning new systems, using technology effectively, and helping improve administrative and operational processes over time.
What Youll Do
Front Office and Communication
- Manage shared inboxes for customers and suppliers
- Route emails, requests, and follow-up items to the right internal teams
- Answer and direct incoming phone calls professionally
- Help maintain organized digital and physical records
- Serve as a reliable point of coordination for day-to-day office communication
Billing, Payroll, and Administrative Support
- Send customer invoices and share shipment tracking information
- Collect time records and help submit payroll information to our payroll provider
- Distribute pay stubs and assist with routine payroll-related questions
- Support day-to-day administrative needs across the office
Vendor Payments and Purchasing Support
- Process vendor invoices and assist with preparing payments
- Maintain vendor records and payment terms
- Communicate with vendors regarding invoices, timing, and routine follow-up
- Help purchase office and shop supplies and coordinate routine services
Operations, Systems, and Automation Support
- Help keep internal records, spreadsheets, and systems accurate and up to date
- Support process improvements and administrative workflow changes
- Assist with reporting, digital organization, and system clean-up
- Learn and support new software, AI tools, and automation workflows as they are introduced
- Over time, take on greater responsibility in operational coordination, reporting, systems support, and automation-related projects

Preferred Experience
- Experience in office administration, operations support, manufacturing, logistics, or a similar environment

- Experience using spreadsheets and business systems in a fast-moving environment
