As a member of the Human Resources department, the Leave Administrator is responsible for managing Firm-wide leaves of absence and accommodations including those arising under the Family Medical Leave Act (FMLA), Worker's Compensation, PWFA, State Paid Leaves, and the Americans with Disabilities Act (ADA), ensuring compliance with federal, state, and local laws.
ESSENTIAL FUNCTIONS:
- Manage routine to complex employee leaves of absences (LOA) including but not limited to Family Medical Leave Act (FMLA) (full and intermittent), state and local leave programs, workers' compensation, and unpaid leaves.
- Serves as the primary liaison between employees, Human Resources, and third party leave management vendor to coordinate and support all aspects of the leave of absence process.
- Serves as the key point of contact between employees, Human Resources, and third party. leave management vendor to facilitate leave of absence requests, provide guidance, and ensure timely communication and adherence with applicable Firm policies.
- Partners with third party leave management vendor to manage the end-to-end leave of absence process, serving as a liaison to employees and leadership, while driving clear communication, adherence to policy and a positive employee experience.
- Ensure that appropriate and required information is provided to supervisors and employees, verbally and in writing. Advise employees on the interaction of leave laws with paid time off, worker's compensation, and short-term and long-term disability benefits.
- Manage administrative aspects of leave claims to include tracking time used and working closely with payroll and the third party leave management vendor to ensure pay is processed accurately and timely, including reporting hours each pay period, tracking leave time, and notifying employees of expirations and need for recertification.
- Serve as the liaison between the third-party leave management vendor and with employees to ensure the timely completion and submission of all required leave of absence documentation.
- Maintain appropriate levels of communication with supervisors and employees throughout the duration of their leave and coordinate all aspects of the return-to-work process upon approval.
- Evaluate and provide consultation to ensure compliance on leave-related issues, including FMLA, PWFA, ADA, State & Local Leave Laws. Escalate concerns as necessary.
- Produce and manage reporting, metrics, and analytics for all leave cases. Communicate leave statues updates to HR and Firm management.
- Proactively identify opportunities to strengthen internal controls and improve leave of absence processes that enhance operational efficiency and effectiveness.
- Assist with monitoring and evaluating data, trends, and Federal/State legislation that may impact the leave of absence regulations and processes.
ADDITIONAL FUNCTIONS:- Provide support for major projects and other duties and tasks as assigned.
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):Education: - Bachelor's degree in human resources or related field or equivalent work experience, required.
Experience: - 5-7 years of experience working in a fast-paced human resources department with an emphasis on benefits administration.
Knowledge, Skills, & Abilities: - Knowledge of Human Resource Information Systems.
- Knowledge of FMLA, PWFA, ADA, Workers' Compensation, Federal and State laws across multiple states.
- High attention to detail and customer service oriented.
- Strong interpersonal skills, ability to communicate clearly and effectively both verbally and written. Ability to build credibility and trust and professional relationships.
- Ability to manage multiple priorities simultaneously with professional attitude and exceptional organizational skills under pressure. Ability to adapt quickly to change and demonstrate continuous process improvement.
- Self-motivated and ability to work well within a demanding environment with strict deadlines.
- Strong critical thinking and analytical/problem solving abilities.
- Payroll experience preferred.
- Basic math and calculation skills.
- Intermediate to advanced skills with Microsoft office products (Word, Excel, PowerPoint, Outlook).
WORK ENVIRONMENT & PHYSICAL DEMANDS: This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL REQUIREMENTS Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.
