Graduate Medical Education Specialist

The Graduate Medical Education (GME) department supports the educational programs that are sponsored by Thomas Jefferson University and Nemours Children's Health. The GME department ensures training programs are in institutional and common program requirement compliance. Nemours Children's Health is a participating site for many of our local affiliate partners. The GME interfaces with affiliate partners to coordinate preparation and delivery of Nemours onboarding requirements and state, federal, institutional and any other regulatory standards.

The GME Specialist participates in an array of administrative oversight functions as part of the GME Team. Under the direction of department leadership, the Specialist could be involved in the administration and support of any service the GME office provides. GME also maintains training history within affiliate partners per regulatory requirements (i.e., to maintain CMS reimbursement eligibility). GME responds to inquiries and requests from program directors and coordinators, other departments, and affiliate partners. GME also will collaborate with ongoing workgroups to optimize process workflows and systems as operational efficiency, and compliance changes may require.

The Graduate Medical Education (GME) Specialist participates in an array of administrative oversight functions as part of the GME Operations Team.

This position is hybrid: 3 days on-site and 2 days work from home.

Responsibilities for the GME Specialist include:

1. Administers onboarding logistics and requirements (through online portal) for new residents and fellows, visiting trainees from affiliate partners, casual and medical observers (international medical graduates).
2. Interfaces with affiliate partners to coordinate preparation and delivery of onboarding requirements.
3. Maintains GME profiles in centralized residency management system over the course of the training program.
4. Administers changes in applicable systems and databases as GME trainees progress through training years (e.g., training year promotion, annual contractual appointment, stipend level updates, training completion, and alumni information).
5. Maintains training history within GME physician profile per regulatory requirements (i.e., to maintain CMS reimbursement eligibility). In order to accomplish this, will work as a member of the team to produce and distribute annual rotation schedules and manage monthly changes to the master education schedule (adds and cancellations).
6. Prepares and delivers communications, status reporting, instructional documentation, and process training on applicable GME administration topics.
7. Collaborates with ongoing workgroups to optimize process workflows and systems as operational efficiency and compliance changes may require.
8. Completes other duties as assigned to balance work volume across staff especially during peak on-boarding period.

Qualifications:

• High school diploma required
• Minimum one year of administrative experience is required; 3+ preferred
• GME or medical education experience is preferred
