Position Goals

  • The A Secretary provides administrative, records-processing, registration, and customer-service support within the Office of Records and Registration. The position processes student record requests and registration transactions, maintains accurate and confidential student information, assists students and College employees, and supports the daily operations of the Registrar's Office.

Job Description

ESSENTIAL FUNCTIONS
  • Maintains the privacy, security, and confidentiality of student education records in accordance with FERPA, College policy, applicable state requirements, and established departmental procedures.
  • Processes registration, schedule changes, withdrawals, transcript requests, enrollment verifications, curriculum changes, demographic updates, and other routine student-record transactions.
  • Provides enrollment counter support, registration, transcript processing, payment collection, session reconciliation, cashiering, and other enrollment-related support for credit and non-credit students, particularly during peak enrollment, registration, and graduation periods.
  • Reviews requests and supporting documentation for accuracy and completeness.
  • Uses approved artificial intelligence tools, when appropriate, to support administrative efficiency, draft or organize routine communications, summarize information, assist with reports, improve workflow tracking, and support data organization.
  • Updates student records accurately and according to established procedures.
  • Routes exceptions, complex cases, and requests requiring professional judgment to the Registrar or appropriate designee.
  • Maintains electronic and physical student records in accordance with College policy and retention requirements.
  • Supports graduation and commencement processes, including reviewing graduation applications, verifying completion requirements, maintaining accurate candidate records, communicating with students regarding outstanding requirements and ceremony details, preparing graduation and commencement materials, assisting with diploma processing and distribution, coordinating commencement-related activities.
  • Reviews quality-assurance reports, identifies discrepancies, and completes or refers corrections.
  • Supports the Registrar with National Student Clearinghouse transcript, enrollment verification, and degree verification processes.
  • Scans, indexes, retrieves, and verifies documents within the College's records-management system.
  • Assists with periodic records cleanup, archiving, and retention activities.
  • Responds to inquiries by telephone, email, in person, and through assigned electronic queues.
  • Explains routine Records and Registration policies, procedures, deadlines, and document requirements.
  • Refers complex, unusual, or escalated concerns to the appropriate staff member.
  • Prepares correspondence, reports, forms, and other departmental materials.
  • Opens, sorts, distributes, and processes departmental mail.
  • Schedules appointments, meetings, and room reservations as assigned.
  • Maintains departmental files, supplies, calendars, and routine tracking documents.
  • Performs all other duties as assigned.
Minimum Qualifications

MINIMUM QUALIFICATIONS
  • High school diploma or recognized equivalent required.
  • Two to three years of administrative, clerical, records-processing, higher education, or customer-service experience preferred.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to learn and accurately use student information systems, document-imaging systems, and other College technology.
  • Strong data-entry, proofreading, organizational, and recordkeeping skills.
  • Ability to interpret and consistently apply established policies and procedures.
  • Ability to manage competing priorities and meet deadlines in a high-volume environment.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to provide professional service to students, employees, and members of the public from diverse backgrounds.
  • Demonstrated ability to exercise discretion and maintain confidential student information.
  • Ability to work independently and collaboratively.

Special Instructions for Applicants

The standard working hours for this position are as follows:
Academic Year: Monday through Friday, 8:30 a.m. to 4:30 p.m.
Summer: Monday through Thursday, 8:00 a.m. to 5:00 p.m.
